1.2. Get started with Kiu BMP

 

1.2.1. How to create a database

Your database can be created from Kiu BMP Website: https://erp.kiuglobal.com/web/signup

After submitting the subscription form, the system will generate a database accordingly and send a notification via email. If the user hasn’t received any email, please double check all mailbox and spam folder or contact Kiu support at support@kiuglobal.com.

1.2.2. How to implement a new database

Let’s have a look at the implementation plan accessible from the Settings Module, or from the top progress bar on the right hand side of the main application.

Kiu BMP’s menu is organized to lead you through smooth implementation setup. All information that needs to be entered first are displayed first in the menu. While forms that needs to be filled out are organized in a sequential manner where all data entered in Kiu BMP are linked from one to the other. 

1.2.3. How to update company info/ logo

You need to make sure you have Admin access rights to update your company information and logo. Only then will you be able to access System Module User Company Choose your company Click at the pencil icon on the picture Upload your logo Save

Important Note: Logo size is 1024 x 1024

1.2.4. How to create a user account & grant access rights

You need to make sure you have Admin access rights to create a user account and grant access rights.

Then you will be able to access System Module ‣ User ‣ User ‣ Create ‣ Set the access rights as you wish to ‣ Save

Important Note:  Email is mandatory and must be unique per user.

Once you complete the steps above, click on the “Send an invitation via email” button to send a notification to the user. This invitation email contains the user’s email with a link to set a password. Alternatively, if the user has not received the email, you can copy the link and send it to them manually or you can even set a password for the user by clickingChange Password”.

1.2.5. How to adapt an import template & How to import data into Kiu BMP

→ Ways to import

Import function can be found in most models in list view/tree view type where the Importbutton is displayed.

There are 2 ways to import data:

  1. New Object: Import brand new data into system.

    Note that all required information must be filled.

    E.g.: field “Product Category” of a product

  2. Overwrite: Make changes to existing items.  

Important Note: Each line item of imported data will be automatically recorded with a unique ID which always appears on the first column of the exported files. By indicating the correct ID of an item in the import file, the system can either recognize and overwrite the data.

E.g.: item “PANDAN CREME BRULEE” owns the ID code: 37646. When exporting this item, the code is “__export__.product_product_37646”.

→ Fields to import

Not all item information can be imported. To figure out which field can be imported, open the “Export Data” window to choose the available fields that can be re-imported and understand how Kiu BMP identifies or records the value of that information.

The result file contains technical fields on the first row as:

  • “id” means the item unique ID provided by Kiu BMP
  • “taxes_id/id” equals to Customer Taxes
  • “pos_category_ids/id” refers to Point of Sale Categories

Each importable field may have a description title that differs from its display name so then the system will take its value based on an item’s ID. In case you wish to change a field, it is vital to review the ID of its recognized value before modifying. 

In the example: the POS Categories of these product is “Dessert”, which owns the ID code: __export__.pos_category_11

→ Language: How to import a Translation

When importing a file into Kiu BMP, the language will be attached to the language set chosen in the language interface.

To enable multiple languages, change the chosen language from the language interface then import another file that match that language.

To guarantee that your translation is correct when switching user interface in different languages, the language used in the import file must be the same as the language shown on the system.

E.g.: When importing a list of new products for the first time, the system will be in “English” interface, which means the words in the import files must be in English, too.

If a Vietnamese (or other language) file hasn’t been imported, products will be shown in the original language from the import file even though the language interface is already swapped into “Tiếng Việt” (Vietnamese).

As a result, these items must be modified to display in the correct language by importing its corresponding translations. After switching to Vietnamese interface, import the following files which contains products’ ID and names in Vietnamese.

After updating the  translation by re-import method, the accurate translation will be displayed.

You will notice that during the translation process, other fields derived from the default table are already translated (e.g.: Product Type, Unit of Measure, etc.). That said, it is unnecessary to translate these fields.

Step 1: Upload import file

You can use the template provided by Kiu BMP support team or develop your own template by following the above instructions.

Here is a list of new items that needs to be created in Kiu BMP.

In the English interface, upload the file.

Step 2: Select fields to import

Select the fields to import and validate the information. Kiu BMP will automatically read the first row of the files and match them with the equivalent fields in the system.

If the information is not valid, Kiu BMP will immediately show the error in a particular row from the import file.

Review the import file and make the necessary modifications. Then reload the adjusted file and validate it again. Follow these steps until the system confirms the validation of input data as shown below.

Step 3: Import files and check result

Start importing files. 

Check the result by reviewing your newly added items. Edit products in their form view to get their pictures presented.

Finally, turn to Language/Translation part to update the translated language of your items if necessary.
